KeyBank deceased account documents and settlement steps
Last verified: August 25, 2026
The short answer: Notify KeyBank promptly by calling a banker, visiting a branch, or scheduling an appointment through KeyBank's account-settlement page. Start with an original or certified death certificate. Depending on the account and state, KeyBank may also accept a claimant affidavit, certified court appointment papers, or certified trust documentation before it discloses information, removes the deceased owner, or closes the account.
KeyBank account settlement at a glance
| Step | What KeyBank publishes |
|---|---|
| Start the case | Call or visit a banker, or schedule a branch appointment |
| Prove the death | Original or certified death certificate |
| Establish authority | State-dependent affidavit, certified appointment papers, or certified trust documentation |
| Initial account review | Government deposits, ACH payments, automatic transfers, bill pay, and overdraft protection |
| Verify the complete relationship as of death | Attorney or executor may use KeyBank's separate date-of-death verification process |
KeyBank does not publish one universal closing checklist because the account title, products, obligations, claimant authority, and state law can change the requirements.
How do you notify KeyBank of a death?
Use KeyBank's official account-settlement page to contact or schedule a banker. Have the deceased customer's full legal name, date of death, address, Social Security number, and known account numbers available. Ask the banker which branch or secure channel should receive the documents.
KeyBank advises notifying it as soon as possible so it can address credits and debits that should stop. A family member, next of kin, or court-appointed representative may make the initial notification, but KeyBank must validate authority before disclosing protected account information.
Which documents can KeyBank require?
KeyBank identifies an original or certified death certificate as the starting document. Depending on state law and the relationship, it says it may accept:
- An affidavit prepared by a claimant.
- Original or certified Letters Testamentary, other appointment papers, or a probate-court order.
- Original or certified trust documentation.
Ask for a case-specific list before ordering or mailing originals. The bank may require additional documents for particular products or ownership arrangements.
What happens during KeyBank's account review?
KeyBank says its initial settlement work can include returning government deposits received after the date of death, returning ACH payments, stopping automatic bill-pay deductions and transfers, and revoking overdraft protection. Certain relationships require additional review.
Before notification, inventory recurring payments that protect estate property, such as insurance, utilities, security, or storage. Arrange a lawful replacement payment method rather than assuming every automatic payment should simply fail.
What happens to joint and payable-on-death accounts?
KeyBank's deposit agreement says funds in a joint account with survivorship pass to the surviving owners, subject to KeyBank's rights and other valid claims. It may require proof of death or other documents before releasing funds. A payable-on-death beneficiary has no present right during the owner's life and generally receives funds only after all owners have died, subject to the account terms and KeyBank's rights.
The surviving owner or beneficiary should still contact a banker to complete the bank's retitling or claim process.
How do you request a date-of-death relationship verification?
KeyBank publishes a separate process for an attorney or estate executor to request verification of the complete client relationship as of the date of death. It lists a 10-business-day turnaround and provides a dedicated fax and email on its Credit Inquiries page. KeyBank warns that this verification channel cannot close accounts or perform account maintenance; use the account-settlement team for those actions.
