Which documents do institutions usually request?
Most cases begin with some combination of:
- The deceased owner's full legal name, date of death, and account or Social Security number.
- A death certificate. Some institutions accept a copy to open the case but require a certified copy before releasing assets.
- The claimant's government-issued identification and contact information.
- Proof of the claimant's role, such as a beneficiary designation, surviving-owner registration, trust certification, court-issued Letters, or an accepted small-estate affidavit.
- Tax information and transfer instructions for an estate, trust, inherited IRA, or beneficiary account.
Do not send a generic packet everywhere. Ask each institution which documents apply and whether it accepts secure upload, mail, or an in-person delivery.
What should you confirm before reporting the death?
List automatic payments, direct deposits, linked brokerage cash, safe-deposit access, and essential property expenses first. Some institutions restrict cards, online access, bill pay, or solely owned accounts as soon as they receive notice. Preserve recent statements and move legitimate estate expenses to an authorized payment method rather than continuing to use the deceased person's credentials.
Does every account require probate?
No. The account registration controls the first route. Joint accounts with survivorship, payable-on-death accounts, transfer-on-death brokerage accounts, named-beneficiary retirement accounts, and trust-owned accounts may transfer outside probate. Solely owned accounts without a beneficiary may require court-issued authority or an institution-approved small-estate procedure.
